Understanding the Indephr workflow

Indephr is built around a simple and structured workflow that guides you from collecting feedback to taking meaningful action.

The platform follows these key stages:

  • Create a survey — build your survey manually or use the built-in AI assistant to generate questions based on your topic

  • Publish and distribute — once published, IndepHR automatically sends the survey to your recipients by email — no manual sending required

  • Independent distribution — surveys are sent from IndepHR, not your organisation, so recipients feel safe to respond honestly without fear of being identified

  • Collect responses anonymously — responses are gathered automatically as recipients complete the survey — individual answers are never visible to survey creators or managers

  • AI generates the report — once the survey closes, IndepHR automatically processes all responses and produces a structured report using AI

  • Human review before delivery — a designated Report Reviewer checks the report for anonymity, accuracy, and language quality — the report only reaches you after it is approved

  • Review findings and select an action plan — once the report is approved, you review the results and select an action plan to sedn to recipents directly inside IndepHR report summary

  • Share summary with participants — send a summary of the findings and selected action plan back to all survey participants, closing the feedback loop and showing people that their feedback led to something real

Key components of the platform

To use Indephr effectively, it is important to understand the main components you will interact with:

Surveys

A survey is the set of questions you create to collect feedback from your recipients. You can build surveys manually by adding questions one by one, or use the AI assistant to generate questions based on your topic. Surveys can be scheduled to run once or on a recurring basis.


Recipients

Recipients are the people you invite to respond to your survey. They receive a unique survey link by email and do not need an IndepHR account to respond. Recipients can be added individually or organised into groups by department, team, or role.


Responses

Responses are the answers submitted by recipients once they complete the survey. Individual responses are never visible to survey creators or managers — only aggregated data is shown in reports to protect anonymity.


Reports

A report is the analysed summary of all responses, generated automatically by AI once the survey closes. Reports include overall sentiment, key themes, and a question by question breakdown.

Reports provide a structured view of the collected data. They help you identify patterns, trends, and key insights.


Action Plans

An action plan is created by the survey creator after reviewing the report. It outlines the specific steps the organisation will take in response to the feedback. Action plans are written directly inside IndepHR and linked to the relevant survey and report.


Summaries and Follow-Ups

Once an action plan is ready, a summary can be shared back to all survey participants. The summary includes the key findings and the actions being taken in response. This step closes the feedback loop and builds trust — participants see that their feedback was heard and acted upon.
